How often should you refresh?

The standard validity for a Manual Handling Certificate is three years, but how often you renew can vary with your work:

• Every 3 years - the standard renewal cycle, aligned with certificate validity
• Every 2 years - chosen by some employers in moderate-risk settings
• Annually - common in healthcare and high-risk environments
• After an incident - following an injury or near-miss
• On a role change - when handling demands shift significantly

Your employer can tell you exactly what they expect, which may be more frequent than the legal minimum.

One honest point on practical assessment

For lower-risk roles, an online refresher keeps your training current and your certificate valid. For heavy or high-risk physical handling, full workplace compliance usually also needs a documented practical element, assessed by a QQI-qualified instructor through a video upload or live Zoom session. If your work involves significant physical handling, confirm what your employer requires alongside the online refresher.

Refresher or first-timer - same certificate

The refresher uses the same curriculum as the initial course. The only real difference is that it assumes prior knowledge to build on. The certificate you receive is identical in validity and recognition - there is no separate "refresher" version. Whether it is your first course or your tenth renewal, you get the same HSA compliant certificate, valid for three years.

Coming back after time away

If you are returning to a handling role after a break, a refresher is a smart first step. It rebuilds confidence and competence before you are back on the floor. Common situations include:

• Maternity or parental leave - extended time away from physical tasks
• Long-term illness or recovery - where technique may need re-establishing
• A career break - time spent in non-handling work
• A gap between jobs - where certification has since lapsed

Because the refresher is fully online, you can complete it before your first day back and walk in already certified.

Stay ahead of the expiry date

A little planning means your certificate never lapses. We suggest:

• Note the expiry date - set reminders three months, one month and one week ahead
• Renew early - you can refresh before your current certificate runs out
• Talk to your employer - check whether they want refreshers more often than the minimum
• Keep your records - hold on to copies showing your training history

Your renewed certificate is dated from completion day, giving you a full new three-year window no matter when the old one was set to expire.
